Terms of service

The service

Xenia is hotel management software provided over the internet: a front desk, bar and restaurant sales, rates, store, accounts and related tools, as described on this website. We may improve and change it. If we change something in a way that harms you, we will say so in advance.

Your account

• You must give accurate details and keep your sign-in secure.
• You are responsible for what is done under your hotel's accounts, including by staff you invite. Give each person their own sign-in and the least access they need.
• Tell us at once if you think an account has been misused.

The free trial and paying

• A new hotel gets a 14-day free trial with no card.
• After the trial you pay for the plan and the number of rooms you choose, monthly or yearly, in naira. VAT is added where it applies and shown separately on each invoice.
• If you add rooms or move to a higher plan part-way through a period, you pay the difference for the days that remain.
• You can cancel at any time. You keep using Xenia until the end of the period you have paid for. We do not refund a period already started, except where the law requires it.
• If a payment fails or is not made, we may limit your access after giving you notice.

Your data

Your hotel's information is yours. We use it only to run the service for you and as set out in our privacy policy and data processing terms. You can export your guests, bookings and bills at any time. If you leave, we will keep your data for a reasonable period so you can export it, then delete it, except where the law requires us to keep it.

What you must not do

• Break the law, or use Xenia to do so.
• Try to get into another hotel's data, or to disturb the service.
• Share your sign-in with people outside your hotel or sell access to Xenia without our agreement.

How well we promise it will work

We work to keep Xenia available and your records safe, and we describe how on our security page. We do not promise that it will never be interrupted or free of errors. [Any availability commitment and support terms to be added.]

Limits on our responsibility

To the extent the law allows, we are not liable for losses that were not reasonably foreseeable, for lost profits, or for events outside our reasonable control, and our total liability for a claim is limited to the fees you paid in the twelve months before it. Nothing here limits liability that the law does not allow us to limit. [To be settled with the company's lawyer.]

Ending and changing these terms

Either of us may end the agreement, you by cancelling, and us by notice if you break these terms. We may update these terms; for a change that matters we will tell you before it applies.

Governing law

These terms are governed by the laws of the Federal Republic of Nigeria. [Courts and dispute process to be confirmed.]
