Loss prevention

Money cannot go missing quietly

A hotel loses money in small ways: a void here, a discount there, a payment never written down. Xenia is built so each of those leaves a record, and the right person sees it.

An audit trail nobody can edit

Every charge, discount, void, refund and rate change is added to a trail that cannot be changed afterwards. Records are chained together, so an altered record shows, and the chain can be checked at any time.

  • Who did it, when, and what changed
  • Filter by person, action or amount, and export

Approvals on the manager's phone

A void or an override waits for a yes, with the reason attached. The manager approves or refuses from a notification.

  • A request cannot be approved by the person who made it
  • Each approval is single-use and expires
  • Denied or expired requests leave the bill untouched

Alerts the same night

Xenia watches for the patterns that matter and tells the owner: repeated discounts by one person, voids, cash differences, stock that does not add up, rate changes outside business hours, a manager signing in from a new device.

  • By notification and, for high priority, by email

Shifts that balance

Cashiers open and close a shift and count their cash. The difference between what was counted and what the system expected is recorded, and a large one raises an alert.

  • A shift cannot be reopened silently

See what each person did

A page for each staff member shows their sign-ins, the devices used, and the money they handled, with voids, discounts and overrides.

Logged.Approved.Alerted.

Every void, discount and refund is written to a trail nobody can edit. Anything sensitive waits for a manager's yes, and the owner hears about the patterns that matter the same night.

Questions

Good to know

Can an owner or manager still be tricked?

Xenia cannot stop someone with a manager's login. It makes what they do visible, and sensitive actions can require a second person.

Can records ever be deleted?

No. The audit trail only ever grows. Even a correction is a new record that points at the old one.

How soon do I hear about something unusual?

As it happens: by notification, and by email for the higher-priority alerts. The daily report also lists voids, discounts and cash differences.
