Moving to cloud hotel software: what changes, what stays
Thinking of leaving an old desktop hotel program? Here is what really changes when you move to cloud hotel software, what stays the same, and the risks.

Many Nigerian hotels still run on a program installed on one computer at the front desk. It was bought years ago, it mostly works, and nobody wants to touch it. Then the computer fails, the person who set it up leaves, or the owner wants to see yesterday's takings from home and cannot. That is when owners start asking about cloud hotel software.
"Cloud" only means the program and its data live on a service you reach through the internet, instead of on one computer in your office. You open it in a browser or an app, on any device you sign in from. Here is what that changes, what it does not, and how to move without losing a day's money.
What changes
You can look from anywhere. The owner can see the day's earnings, bookings and exceptions from a phone, without calling the desk.
No single computer holds everything. If the front desk computer dies, you sign in on another one and carry on. Your records are not on that machine.
Updates arrive by themselves. You do not need someone to come and install a new version.
Several people use it at once. The front desk, the bar and the accountant can work at the same time, each seeing the same figures.
Everyone has their own login. Instead of one shared password, each person signs in as themselves, so every action has a name beside it.
What stays the same
The rooms, rates, guest list, bills and receipts. A good move brings your existing records across so the numbers still match.
The way your hotel works. A system should follow your routines, like shift hand-over, night audit and cash-up, not force new ones on staff.
Paper habits that are useful. A printed receipt is still a receipt.
What you must plan for
The internet
Cloud software needs a working internet connection. If your connection is slow or drops often, plan for it before you move. Have a second SIM or a backup router, and decide what the front desk does for ten minutes when the connection is down. Our post on keeping hotel software working through power cuts and slow internet covers this in detail. Be honest with yourself about this point, because it is the one real trade-off.
Moving your records
You do not want to start from empty. Ask how guest history, bills and opening balances move across, and whether the new totals are checked against the old ones. Xenia can import from the desktop Xenia program, with figures reconciled to the kobo, and the switching page explains each step.
Running both for a short time
The safest move is to run the old and new systems side by side for a few days. Staff enter work in the new system while the old one stays as a reference. When the figures agree for a week, retire the old one.
Training your staff
Staff move over faster when the first day is real work rather than a lecture. Start with the front desk, then the bar, then the store. Give each person a short list of the five things they do every day.
What to ask before you move
Where is the data kept, and can I take my records out if I leave?
How do you move my old records, and who checks the totals?
What happens when the internet goes down?
Does every staff member get their own login, and can I see who did what?
What does support cost, and how do I reach someone at night?
How is it priced, in naira, and what happens when I add rooms? See what hotel software costs in Nigeria.
A sensible way to start
Do not move on a busy weekend or at month-end. Pick a quiet week, run both systems in parallel, and keep the old one for at least a month. Check three numbers every morning: rooms occupied, money taken, and cash in the drawer. If those match in both systems, you are ready.
