This is part 2 of 7 of the Xenia owner setup guide: 1. Your account · 2. Hotel details · 3. Rooms and rates · 4. Roles and staff · 5. Payments and security · 6. First booking and going live · 7. What to do next.

The first checklist step is Add your hotel's details. These are the words your guests see on every receipt and invoice, and the rules that decide what is charged and when. Open Hotel settings from the menu, or choose Open hotel settings on the checklist.

Hotel details

The top card holds what is printed on receipts and invoices. Fill in each box:

  • Hotel name: as you want guests to read it.

  • Phone and Email: how guests reach reception.

  • Address: the street address of the hotel.

  • Tax ID: your tax identification number. It is printed on invoices.

  • Receipt footer: one line at the foot of every receipt, for example a thank-you or your bank details.

Choose Save details. You will see a green confirmation. Every change here is recorded in the audit trail.

Business rules

The next card decides what is charged and when. Because these rules touch money, changing them is recorded and the Owner is alerted.

  • Time zone: pick the hotel's own time zone (for Nigeria, Africa/Lagos). Every date and time in Xenia follows it.

  • Default VAT (%): the VAT put on new bookings. It only seeds new bookings; bookings already made keep their price. Nigeria's standard rate is 7.5%.

  • Usual check-in time and Usual check-out time: the times you normally give guests.

  • Night audit time: when, in the hotel's time, the night audit runs and charges guests who stayed past their check-out date. A quiet hour such as 1:00 AM works for most hotels.

  • Currency: set when the hotel was created and cannot be changed.
