An approved stock request with an issue the stock button

This is part 3 of 4 of the Xenia store keeper guide: 1. Your role, the store and your stock list · 2. Buying and receiving stock · 3. Moving stock to the bar and kitchen · 4. Counting, wastage and keeping it honest.

Requests from the bar and restaurant

The bar and the restaurant cannot take stock themselves. They send a request, and stock moves only when it is approved and you issue it. A request has a path, and each step shows on the Requests tab (filter it with Status):

  1. Waiting for approval: the bar or restaurant has asked, with a reason such as "Friday night, wedding party".

  2. Approved, to issue: a General Manager or the Inventory role has approved it, and the request shows what was granted ("Granted 24 btl").

  3. Issued: you have taken it from the shelf and issued it, and the stock has moved.

Open an approved request. It shows who asked, who approved, what was asked and what was granted, and how much the store holds. Take the stock from the shelf, then choose Issue the stock.

Move stock between stores

To move stock without a request, such as filling the bar store at the start of a week, choose Transfer.

  1. Choose the store it is going From and the store it is going To.

  2. Add a Note if it helps, for example "Weekend stock for the bar".

  3. Search for each item and enter How many.

  4. Choose Transfer.

Xenia records the transfer (for example TRF-000001), takes the stock from one store and adds it to the other. Both stores' figures change at once.

What you hold

Use Stock on hand for each item's quantity in the chosen store, its level for reordering and its cost. Show narrows the list to Items with stock, Items to reorder or Every item. An item at or under its reorder level is flagged.

Stock value adds what each item is worth (the quantity times its cost) and the total. Slow moving lists stock that has not moved for a while, so you can see money sitting on the shelf.

Look at Items to reorder each morning. It is the list for your next purchase order (part 2).

Next: Part 4: counting, wastage and keeping it honest.
